THE ROLE

ADVOC8 is searching for a versatile producer who is self-motivated, with the ability to thrive under pressure, find creative solutions for small- and large- scale event logistics, and has proven success in planning B-to-B and/or B-to-C experiential marketing activations. This person is able to lead event project teams and collaborate with various team members, vendors, and partners from event conception to execution. They are comfortable leading the charge on innovative event solutions, client relations, budget management, event design, logistics and production, while exceeding expectations.

RESPONSIBILITIES

Lead projects and project teams in accordance with the established ADVOC8 workflow

Manage all external project vendors and contractors

Partner with client services lead to ensure appropriate client communication and satisfaction.

Manage all project invoicing and accounts payable

Develop and maintain accurate project work back timelines

Maintain accurate project team bandwidth forecasts

Oversee project team time sheets and maintain billable time budget

Develop and maintain accurate project budgets and production documents

Complete and lead post project debriefs

Manage and ensure accuracy of project P&Ls

Support other producers on projects as needed and assigned

Assist in filling a client services lead role when needed and assigned


SKILLS & QUALIFICATIONS

5+ years of experience in the experiential production industry or a closely-related field. Previous brand or agency experience would be ideal.

Has broad knowledge in event planning logistics, including negotiations with venues and all project vendors (caterers, decor and rentals, fabrication/build firms, A/V, freelancers, staffing agencies, etc.); integration of event technology, management of content creation, and leadership over onsite staff and execution

Has experience managing a team of people and multiple stakeholders during the course of a project

Proven management of six figure plus budgets for corporate clients, and knowledgeable about industry costs and pricing.

Proficiency in Google Suite, Microsoft Powerpoint, Microsoft Word, and Acrobat. Proficiency in project management and time tracking tools such as Monday.com and Harvest a plus.

Ability to balance multiple projects, delegate work effectively and meet deadlines

Strong communication skills, detail-oriented, organized and efficient

Collaborative and self-motivated with a positive, solutions-oriented mindset

Can work flexible hours including nights and weekends

Is comfortable traveling 30% or more locally, nationally, and internationally

On site physical demands:

Ability to remain in a stationary position for an extended period of time

Ability to lift and/or move boxes and equipment up to 50 lbs. (with assistance)

Ability to position self under tables or stages, and/or lower self to floor

COMPENSATION

This is a contract position that will be commensurate with an agreed upon scope and compensation structure.


Candidates for this position will have the option to work remotely or out of ADVOC8's office in Washington DC. Candidates must be legally authorized to work in the US, at this time we are not able to provide sponsorship.
