About the Opportunity

The Special Projects Manager provides administrative, substantive, and strategic support to the Office of William Jefferson Clinton (OWJC). This includes coordination of Foundation senior leaders in their interactions with OWJC, prioritization of Foundation projects to maximize OWJC impact, cross organization project and calendar management, preparation of communications, correspondence and memoranda, and advance work for OWJC. The Special Projects Manager triages internal and external requests related to the Foundation for OWJC to prioritize them with respect to the priorities, responsibilities, organization-wide goals and deadlines.

This role assists OWJC to maximize their effectiveness using discretion in scheduling; learns the Foundation’s history and processes to serve as a resource to OWJC and the Foundation’s Senior Leadership Team and stays up to date on events to assist in anticipating challenges. The Special Projects Manager also provides support with respect to operational effectiveness between OWJC and the Foundation and proactively manages routine and ad hoc special projects.


Core Responsibilities

In this role you will work on:

Executive Administrative Support of OWJC/Foundation relationship

  • Furthers development and implementation of systems and procedures
  • Oversees logistics, material preparation and file management.
  • Participates in SLT meetings on behalf of OWJC, representing OWJC and project managing communication and action items.

Cross-Organization Communication and Support

  • Facilitates internal communication and organizational issues between OWJC and the Foundation
  • Prioritizes and acts on meeting requests, memoranda, phone calls, and other Foundation-related items
  • Develop strategic meeting agendas and coordinates with senior leaders on leadership meeting agendas and follow-up items
  • Compose, edit, and proof correspondence, briefs, reports, and other material (tracking dashboards) that serve as interface for OWJC and Foundation

Special Projects Management

  • As assigned, manage special projects on behalf of OWJC
  • Performs advance work for OWJC travel on behalf of Foundation


Minimum Qualifications

What we’re looking for:

  • Bachelor’s degree required, or a minimum of 6 years relevant work experience
  • Administrative experience working for a senior leader preferred
  • High level of diplomacy required with the ability to manage relationships in a positive manner
  • Ability to proactively see a project through to completion including coordinating with peer colleagues
  • Experience providing advance support for senior executives preferred
  • Work well in a fast-paced environment, while maintaining a professional demeanor and meeting deadlines
  • Ability to work in a varying schedule including nights, early mornings, weekends and holidays.
