Job Description

Under the supervision of the Assistant Director of Policy and Procedure Development, the Policy and Procedure Specialist will compose, maintain and coordinate with programs the development of all policies and procedures of the agency.

FUNCTIONS:

  • Write, edit and update all agency policies, assuring that all policy and procedures are created to follow Cayuga Centers style guidelines
  • Write new procedures in partnership with program leadership
  • Assist with administration and maintenance of agency policy software
  • Assist CQI team with various projects
  • Research trending policy to incorporate with agency policy
  • Create written policy and procedure with clarity, conciseness, style and terminology
  • Monitor oversight agencies such as Office of People with Developmental Disabilities, Office of Children and Family Services, Administration for Children’s Services, Office of Refugee Resettlement, Council on Accreditation and Medicaid for necessary revisions to maintain updated policy
  • Assist with the COA accreditation process

Required Experience:

  • Bachelor’s degree in related field with two years' professional experience in business writing required
  • Master’s degree in related field strongly preferred
  • Understanding of and ability to interpret regulations from government oversight agencies such as Office of People with Developmental Disabilities, Office of Children and Family Services, Administration for Children’s Services, Office of Refugee Resettlement, Council on Accreditation and Medicaid for necessary revisions to maintain updated policy
  • Excellent written and oral communication skills
  • Advanced knowledge of business writing processes, tools and best practices
  • Ability to handle confidential material in a responsible manner
  • Ability to interpret, design and compose complex written material
  • Valid NYS Driver’s License
  • Ability to travel to all agency locations as required

PHYSICAL REQUIREMENTS:

  • Word processing: Including responding to e-mails, composing letters, completing computerized documentation, transcribing minutes for meetings, etc.: This involves sitting at a computer for a minimum of 5 hours and could be up to 7 hours a day depending on program needs
  • Lifting of Agency file books - weighing approximately 6-8 lbs. each - 5 inch binders
  • Completing paperwork -Such as copying, stapling
  • Answering phones, processing mail, filing, lifting packages
  • Walking up/down stairs
  • Visiting program units and areas

HOURS PER WEEK: Exempt

  • Regular hours entail 9:00am - 5:00pm, Monday - Friday
  • Must be flexible to meet program needs
